On Tuesday at 5:30 pm the dining room is half empty. On Friday at 8 pm you turn tables away. To fill quiet services in a restaurant with AI, SevenRooms offers two recent features: Smart Boost, which shows a perk on "cold" time slots, and Flexible Table Capacity, which adjusts table capacity based on forecasted demand.
In this guide we explain what each feature does, how to set it up step by step, and above all where it stops. We then show how Heep, the AI for restaurants and hotels that māhie recommends and deploys, goes further: follow-ups, WhatsApp, missed calls, cross-selling between venues. And how the two approaches complement each other.
Filling quiet services in a restaurant: the principle
A quiet service is a time slot where your capacity exists, with the team and fixed costs, but bookings do not follow. There are two levers:
- Create demand on those slots: this is the role of Smart Boost, and of everything Heep adds on the messaging side.
- Make better use of table inventory: this is the role of Flexible Table Capacity.
They do not do the same thing. One pushes a perk to the guest, the other relaxes your seating rules. They are switched on separately, and the result comes from combining them.
Smart Boost: an automatic perk on cold time slots
Smart Boost spots your "cold" time slots in advance and shows a perk directly on the time in the reservation widget. SevenRooms says the feature relies on your historical data and predictive models to decide when, where and how to act, without any manual work from your team.
Examples of perks given: a free appetizer, preferred seating, or a credit toward the check. They can only be redeemed on slots designated as cold, so you do not discount your whole menu. Campaign reporting shows the reservations, covers, spend and revenue attributed to Boost.
Setting up Smart Boost step by step
- In the web portal, open Marketing in the SevenRooms navigation bar.
- Select Smart Boost in the sidebar.
- Click Get Started.
- Select an existing Perk, or create a new one.
- Enter the incentive name, as guests will see it on the booking widget.
- Enter the restaurant cost and menu price. Both are internal only; guests never see them.
- Click Save Changes, then review the incentive details before publishing.
Example: a brasserie in Lyon has Tuesdays at 40% occupancy. It creates the Perk "Free coffee with any Tuesday lunch booking". Cost of goods: €0.40. Menu price: €2.50 tax-inclusive. The guest only sees the Perk name; you stay in control of your margin.
Editing or pausing an incentive
- Pause a specific slot: tap the incentive's time slot in the calendar, then Pause. Useful if a private event already fills the room.
- Edit settings: click the gear icon at the top, edit, then save.
Smart Boost limits according to SevenRooms
Let us be precise about what the documentation says, and does not say:
- The perk only appears in the reservation widget. Smart Boost sends no message to your guests. If nobody visits your widget, nobody sees the offer.
- You do not choose the detection rule. The documentation does not detail the threshold that makes a slot "cold" or the forecasting window. You manage the Perk, not the model.
- Settings are limited to the perk (name, cost, price), pausing a slot and editing the incentive.
- For a first campaign, the documentation points you to your SevenRooms Customer Success Manager: support is available, but detailed fine-tuning is not published.
Note: Smart Boost works at the moment the guest is already on your widget. To bring people to that widget, you need a channel upstream: email, WhatsApp, social media. That is where Heep comes in below.
Flexible Table Capacity: adjusting table capacity to demand
Flexible Table Capacity pulls a different lever: the party sizes each table accepts. A machine learning model forecasts how busy each slot will be up to 30 days ahead and labels each 15-minute slot Cold, Neutral (default) or Hot. SevenRooms says it analyses 30+ signals (real-time booking pace, seasonality, your venue's history) and is tested weekly.
- Hot (top 20% of occupancy): larger tables are kept for larger parties. You protect your inventory.
- Cold (bottom 20% of occupancy): rules are relaxed, so smaller parties can take a larger table that would otherwise stay empty.
- Default: your standard configuration applies.
The default formulas
When demand is low, SevenRooms accepts parties within 3 seats of a table's maximum. In busy periods, the table is restricted to its full capacity. A table with a maximum of 4 is therefore treated as 1-4 in Cold and 4-4 in Hot.
For combined tables, the documentation gives the example of an 8-10 combination becoming 7-10 in Cold and 10-10 in Hot. Auto-assign always prioritizes an individual table over a combination.
Pre-shift refresh
Classification updates automatically to capture last-minute demand:
- 6 hours before the slot, a Hot reverts to Default. You will never see a Hot slot during service.
- 1 hour before, a Default turns Cold.
- A Cold stays Cold.
This does not affect existing reservations.
Enabling Flexible Table Capacity step by step
The feature is only available on select SevenRooms packages. If the option does not appear, ask SevenRooms whether your package includes it.
- Go to Availability Settings > Floorplan Layout.
- Click the three dots next to your Standard Mode, then Edit. SevenRooms recommends editing the existing mode rather than creating a new one.
- Toggle on Enable Flexible Table Capacity.
- Apply the mode to your Shifts if it is not already, otherwise nothing happens. Fast way: Settings > Floorplan Layout Modes, pencil icon to the right of the Shifts section, drag and drop the Shifts into the mode column and save. One-by-one way: Availability Settings > Shifts, the Shift, Edit All Days, then the Shift Slideout.
SevenRooms recommends enabling it across all Shifts and keeping the default settings.
Customizing (optional)
- Capacity Release Rules (Pre-Shift): under Last Minute settings, set in minutes, hours or days when constraints are lifted. The recommendation stays 6 hours and 1 hour.
- Capacity Adjustment Rules: keep the SevenRooms Settings (recommended).
- Customize by Table Size: a table seating up to 6 can accept parties as small as 4 in Cold.
- Table Overrides: via + Add Table Override, set Minimum Party Size (Cold) and Minimum Party Size (Hot) for a specific table. Think of the bar, a corner banquette or the chef's table.
Example: a 6-seat table mostly serves groups on Saturday night. In Hot, you require 6 guests minimum. On a Cold Tuesday, two guests can take it, which beats leaving it empty.
Reading the result
On the reservation, a blue banner shows it was booked in a Cold period, so it may sit on a larger table than usual. In Grid, a blue dot marks a Cold slot, a red dot a Hot one, no dot a Default. A Manager or Superuser can always overbook manually, ignoring Hot/Cold.
Flexible Table Capacity limits
- It does not create demand. It relaxes seating rules: for it to help, guests must already be looking for a table. It complements Smart Boost, it does not replace it.
- It depends on your package: select packages only.
- It only affects party size, not guest contact, and not the slots themselves.
- The mode must be assigned to Shifts: an enabled Floorplan Mode that is not applied does nothing.
- A party of 2 can take a 4-top: in Cold this is intended, but tell the floor team; the blue banner is there for that.
Heep: AI to fill quiet services in a restaurant, beyond the widget
Smart Boost and Flexible Table Capacity work inside SevenRooms, on a guest who is already there. Heep acts on the other side: it reaches out to guests, answers those who hesitate, and recovers those who were about to leave. Heep connects to SevenRooms (as well as Zenchef, TheFork, Ee-table, OpenTable and CoverManager) and books directly in your reservation software. Here is what it adds.
Automatic follow-ups and reactivating inactive guests
Heep sends a reminder the day before the booking, a review request the day after, and reactivates inactive guests, without targeting those who have already booked. This is where you work the quiet Tuesday: a message to guests who have not visited in months, for a weekday lunch.
WhatsApp campaigns with SMS fallback
Your marketing campaigns go out on WhatsApp, with an SMS fallback if the message does not go through. You reach guests where they read, instead of waiting for them to open an email. Reminder: guest consent remains essential for sending; see our guide on email marketing and GDPR.
Recovering missed calls
During service, nobody picks up. After an unanswered call, Heep automatically sends a WhatsApp or SMS. According to Heep, 55% of messages arrive during service or when the restaurant is closed: exactly when a potential guest is lost. Heep Phone (new) adds a Heep number, call forwarding and transcribed voicemails.
Instant replies on WhatsApp and Instagram
Heep brings WhatsApp, Instagram (DMs and story mentions), Messenger, email and a chat widget on your site into one inbox, with an AI that replies. The guest asks "a table for 4 on Thursday?", the AI checks availability and books in your software, without waiting for a human to be free. According to Heep, 97% of conversations are resolved without the team.
Cross-selling between venues in a group
Is your venue full tonight? Heep offers a table at another venue in the group. The guest is not lost, and your quieter address fills up. One account, but each venue keeps its own memory and tone.
Dashboard of generated reservations
Heep shows reservations, covers and recovered calls in a dashboard. The Copilot lets you ask questions in natural language. According to Heep, on an extrapolated sample (August 24 to September 23, 2026, tests excluded), the average is 312 saved reservations and €80,400 generated per venue per year. These are figures announced by Heep, not a guarantee for your restaurant.

Smart Boost, Flexible Table Capacity and Heep: a 4-step plan
The three do not compete. Here is the order we recommend:
- Enable Flexible Table Capacity on all your Shifts (if your package includes it), default settings.
- Launch a Smart Boost Perk on your two weakest slots of the week.
- Connect Heep to SevenRooms to answer every message and catch every missed call.
- Send a WhatsApp follow-up to inactive guests for those same slots. To raise the average check once the room is full, also look at Upgrades.
Then measure over 4 weeks: covers on quiet slots, reservations attributed to Boost, reservations generated on the Heep side.
Filling quiet services with AI: frequently asked questions
Does Smart Boost send messages to my guests?
No. Smart Boost shows a perk on the slot in the reservation widget; it sends no communication. To contact guests, you need a complementary channel, such as Heep's WhatsApp campaigns with SMS fallback.
Is Flexible Table Capacity available on all SevenRooms packages?
No, it is only available on select SevenRooms packages. If the Enable Flexible Table Capacity option does not appear in your Floorplan Mode, contact SevenRooms to check whether your package can include it.
How does SevenRooms decide a slot is cold?
For Flexible Table Capacity, a machine learning model forecasts occupancy up to 30 days ahead and labels 15-minute slots: Cold is the bottom 20% of occupancy, Hot the top 20%. For Smart Boost, the documentation mentions historical data and predictive models without detailing a threshold.
Does Heep replace SevenRooms?
No. Heep integrates with SevenRooms and books directly in your reservation software. SevenRooms remains your system; Heep adds messaging, follow-ups, missed-call recovery and cross-selling between venues.
Need help filling your quiet services on SevenRooms?
Switching on a feature is not enough: you need the right slots, the right Perks, coherent table rules and a channel to bring guests in. It is configuration and measurement work, not a simple switch.
